Application Form
If you have been selected by your home university to come to Leuven as an Erasmus student, 2 things have to be done:
- Your home university coordinator has to confirm officially that you have been selected. He/she can do it by sending a short email to Heleen Hendrix (Heleen.Hendrix@ppw.kuleuven.be), containing your name, email, address, semester and study programme.
- You have to apply officially BEFORE COMING to Leuven by filling out an ELECTRONIC application form. Please follow the instructions carefully!

It is not necessary to send other documents. Only the Application Form is necessary. You will receive a permission letter and an information package within a couple of weeks. Only Work Placement students have to do 'step 4' (students doing an internship).
Attention: there are some deadlines:
- If you want to come during the 1st semester: 14 April,
- If you want to come during the 2nd semester: 1 October.
Learning Agreement
A Learning Agreement is a kind of ‘contract’ between all parties involved:
- student,
- home university,
- host university.
Some home universities require it before you leave abroad. K.U.Leuven does not require it before you come to Leuven. Check it with your coordinator at your home university.
The procedure:
- Upon arrival in Leuven you will receive all updated information about courses taught in English.
- After that, you can choose your courses and fill out your Learning Agreement. Bring it to Heleen Hendrix, Erasmus Administrative Support (room VHI 00.53, Dekenstraat 2).
- She will have it signed by the Faculty Coordinator and give it back to you.
- Then you can send it to your home university to be signed.
- Please submit a copy of your Learning Agreement signed by all parties to Heleen Hendrix. Keep the original document carefully.
Most universities have an own form. In case you do not have it, you can use this form (pdf).
Deadline for KULeuven: 15 October (1st semester) or 28 February (2nd semester).
Reimbursement language course
To promote English and/or Dutch proficiency the Faculty of Psychology and Educational Sciences reimburses 1 regular English or Dutch course (not intensive courses). Languages can be included in the official programme (6 ECTS per semester) on the condition that the home university agrees.
Reimbursement procedure:
- CLT courses (www.clt.be): go to Heleen Hendrix’ office (room VHI 00.53, Dekenstraat 2) BEFORE REGISTERING at CLT! She will then give you a certificate certifying that you don’t have to pay the registration fee. The language school will then send the invoice directly to her . So, to be sure: DON’T pay anything yourself, because we cannot reimburse it to you! We can only pay the invoice sent by the language school.
- ILT courses: register online for a course (http://ilt.kuleuven.be/english/), print the registration form, bring it to Heleen Hendrix (room VHI 00.53, Dekenstraat 2).
- Erasmus courses "Dutch as a foreign language" are free, but you do have to register online (http://ilt.kuleuven.be/english/cursus/andere_ned_vr_erasmus.php)
